At Vyntra, we’re looking for a proactive, organized, and confident professional to join us as an Office Coordinator.
Please note: This is mainly an office coordination role with some light HR administration. If you are looking for a primarily HR role, this will not be the right fit.
You will be the go-to person in our Mechelen office — making sure the space runs smoothly, supporting colleagues with practical needs, and handling some HR-related administration. The right person enjoys variety, works well under pressure, and is confident managing expectations while staying friendly and collaborative.
This is a part-time role (20 hours per week. Monday to Thursday with the need for occasional flexibility to run mandatory special events such as town halls)
What you’ll do
Office Operations & Facilities
- Be the main contact for day-to-day office needs
- Manage reception, mail, stock, building access, and keys
- Organize meetings and company town halls
- Oversee company car fleet administration
Employee Support
- Help colleagues with practical office and process questions
- Support internal communications and office event
HR Administration
- Support onboarding and offboarding (equipment, access, welcome activities)
- Keep employee records up to date
What you’ll bring
- Experience in a busy office management, EA, or team assistant role
- Skilled at handling multiple tasks and changing priorities
- Confident in pushing back politely and professionally
- Strong organizational and communication skills
- Fluent in English plus Dutch OR French
- Proficient in MS Office; experience with HR systems is a plus
