Commercial coordinator (BeNeLux) As the commercial coordinator for the BeNeLux region, you are the cornerstone of our sales administration and the trusted right-hand to our sales team. You will ensure the flawless execution of commercial operations for our diverse portfolio of partners (including Ici Paris XL, April, Paris 8, and independent perfumeries). By combining rigorous order management, proactive logistical follow-up, and sharp business analysis, you will guarantee that our products reach our clients with the excellence and reliability expected of a high-end Maison. Key responsibilities 1. Sales administration and order management Order processing: meticulously control and validate incoming orders, whether received via EDI (e.g., Ici Paris XL) or entered manually for our private clients and partners. Promotional excellence: manage the allocation and ordering of promotional materials (samples and testers) to support our sales representatives' field activities. Master data management: create and maintain client accounts (sales conditions, transport terms, pricing) and ensure our clients' retail databases and Product Information Management (PIM) systems are perfectly updated for all new launches. Bespoke orders: orchestrate exceptional orders (holiday season, urgent requests, press and marketing needs) and manage complimentary orders for our Maisons, including SAP reconciliation. 2. Supply chain coordination and client care Logistical synchronization: act as the key liaison with our logistics center to monitor order preparation, product availability, and strict adherence to delivery deadlines. Shipping and export: organize special shipments with clients and freight forwarders (e.g., bespoke packaging for Mother's Day) and oversee the creation of export documents and pro forma invoices. Financial follow-up: track invoicing and coordinate with the accounting department to monitor payment settlements. Premium resolution: manage client inquiries, transport anomalies, and the entire return process (inventory, approvals, system updates) with a proactive and solution-oriented mindset. 3. Commercial support and performance analysis Business intelligence: produce regular performance reports (e.g., flash reports) to guide the commercial strategy. Sales team partnership: proactively inform the sales team regarding order statuses, product availability (out-of-stocks), pricing, and lead times. Contractual management: create and track year-end rebate (RFA) contracts in SAP, and monitor all contractual elements including commissions and signed terms and conditions. 4. Office management General services: handle supplier orders and manage invoices for the general services of our BeLux headquarters. Profile and expertise Experience: proven background in sales administration, supply chain coordination, or commercial support, ideally within a structured, premium, or fast-paced retail environment. Technical proficiency: strong command of ERP systems (SAP is highly preferred) and Excel. You are comfortable navigating data and learning new systems. Mindset: you are highly organized, rigorous, and possess a strong sense of service. You are a natural problem-solver who thrives in a supportive, team-oriented role. Languages: fluency in French, Dutch, and English is essential to communicate effectively with our BeNeLux partners and our teams.
