Context:
This role requires strong organizational and coordination skills to support the Benelux commercial site (approx. 80 people). The need arises due to a team member being on sick leave, creating a high workload.
Team info:
There are around 4–5 coordinators, spread across different areas.
This role will primarily support Immunology PVU, but tasks may extend beyond that.
Reports to the manager (not strategic, purely operational support).
Day to day:
- Organize internal and external meetings, congress support, and events.
- Ensure compliant processes (contracts, logistics, invitations, grants, sponsorships).
- Handle administrative flows (ANFs, Smart Simple, ORBIT).
- Collaborate with Finance for compliant financial handling.
- Book travel/hotels, manage shipments, update collaboration sites.
- Provide first-line support to local teams (account managers, business unit lead, etc.).
- Act as backup for other area administrators during peak periods.

- Prior experience in similar coordinator/administrative roles required.

- Pharmaceutical industry experience.
- Strong organizational and coordination skills.
- Ability to manage processes and work in a matrix organization.
- Proficiency in Microsoft Office (and ideally SAP).
- Service-minded, structured, and able to prioritize.
- Bachelor's degree (minimum).
Nice to have:
- Knowledge of French and/or Dutch.
- Executive PA or project management expertise.
