Role: Office Manager
Type: 6 month Contract (possibility of extension)
Location: Brussels | 4 Days in Office | Flexible Hours
Our client is looking for an Office Manager to keep their operations running smoothly and efficiently.
In this role, you’ll be the go-to person for all things office-related — from administration and facilities to onboarding and events. You’ll play a key role in supporting their teams, ensuring the office is a productive and positive place to work.
Responsibilities:
- Overseeing the day-to-day activities in the office, managing office stationery, beverages and indirectly managing the third-party facility services providers and cleaning company.
- Accurately manages our clients' complete digital and physical filings system in compliance with GDPR and administers compulsory statistical reporting to local authorities.
- Manages the incoming and outgoing (registered) mail and couriers.
- Responsibility for GAMS (assets management), company parking arrangement and the Car Fleet administration management.
- Focal point for environmental affairs, utility services and real estate.
- Acting as the process gatekeeper to ensure effective onboarding of new employees and offboarding with leavers in close cooperation with HRP and hiring manager (also remote).
- Organizing team meetings, events, Xmas gifts, lunches etc.
- Providing backup for Accounts Payable during vacation and sickness, manages the purchase order process, and accurately administers invoicing and pension documentation.
Experience/Skills:
- Bachelor’s degree or equivalent working experience.
- Fluency in Dutch and English, written and spoken. (French Bonus)
- Previous experience in Office Manager function and/or Financial Administration (Pre in international environment).
- Ability to maintain a high level of accuracy in preparing and entering information.
- Customer focused and self-independent worker.
- Proficiency in (basic) calculating.
- Knowledge of office administration.
- Experience with data information systems and expert in MS Word, Excel, PowerPoint.
