The Executive Assistant (EA) provides high-level administrative and strategic support to the Chief Executive Officer (CEO) and Executive Committee (ExCom). This role requires exceptional organizational skills, discretion, professionalism, and the ability to manage complex priorities in a fast-paced, dynamic environment. The EA acts as a trusted partner, ensuring seamless coordination, effective communication, with a proactive approach to day to day matters within the Executive Office.
Responsibilities and Main Result AreasExecutive Support to the CEO
Manage the CEO's daily calendar, appointments, travel arrangements, and correspondence.
Attend meetings with the CEO as necessary, prepare agenda's, taking of minutes and preparing presentations / speeches, where required.
Following up on actions from meetings where required.
Ensure the CEO is fully prepared for all meetings, events, and external engagements.
Act as a gatekeeper and liaison between the CEO and internal/external stakeholders.
Handle confidential information with the highest level of integrity and discretion.
Support to Executive Committee (ExCom)
Facilitate and manage recurrent reporting to the Board of Directors.
Prepare and act as secretary for the Board of Directors.
Facilitate communication and alignment among ExCom members and departments.
Support in the planning of leadership offsites, strategy sessions, and special projects.
Assist in preparing meetings (agenda, content development, practical arrangements, catering, set up).
Coordinate the booking of all meeting rooms at HQ for all NHV users and give support accordingly for changes, double bookings, requests for extra availability.
Manage business travel itineraries for the ExCom team members.
General
Liaise with company departments and bases as required to facilitate senior management coordination.
Travel to other Bases/Countries when required.
Skills
Proven experience working at Executive Assistant level
Languages: Fluent in English
Excellent written and verbal communication skills in English
Demonstrated ability to manage confidential information and exercise sound judgment.
Professional demeanour and strong interpersonal skills, with the ability to interact effectively at all levels.
Qualifications
A bachelor's degree in business administration, Communications or related field preferred
