Kicker-in-Administration


KickCancer is looking for a mover and shaker who thrives on getting things done behind the scenes—someone who finds joy in ticking off to-do lists, organising data, and keeping our supporters smiling! A love for structure, a sharp eye for detail, and a knack for managing projects and improving how things work are the qualities we value most in our next colleague.

You will work closely with KickCancer’s COO and collaborate regularly with our amazing army of kickers, as well as with our accountant and auditors. Your mission? To uphold KickCancer’s financial and accounting rigour while supporting the super nice people who want to organise events in our name.

You will also be the go-to person for keeping our admin and data running like a well-oiled machine — from invoicing and stock management to donor follow-up and database support.

All of this, of course, to help ensure KickCancer’s long-term sustainability — so we can continue to kick and fund vital research projects to cure more children with cancer and reduce the toxicity of current treatments.


Responsibilities

1.1. Follow-up KickCancer’s finance & data

A. Ensure the effective financial management of KickCancer by overseeing daily accounting operations and improving financial processes. 

  • Follow-up payments & budget:

--> Monitor payments and incoming funds, including payment validation process.

--> Verify and register suppliers' invoices and expense reports.

--> Ensure accurate bookkeeping in collaboration with our fiduciary. 

  • Contribute to the preparation of financial dashboards, of the annual audit process, and assist with the annual budgeting process.
  • Support the preparation of the annual budget.
  • Support the annual financial closing process with the auditors.

B. Manage our CRM and data:

  • Import data and verify data accuracy.
  • Ensure data security and compliance with privacy regulations.
  • Collaborate with team to identify data needs.
  • Update existing dashboards and share key performance reports to facilitate decision-making and enhance strategic planning for fundraising and events.


1.2. Manage office & support team

A. Oversee day-to-day office needs and ensure that office remains tidy and clean.

B. Support team members in their project:

  • Prepare documents.
  • Assist events managers when needed (coordination of tasks, stock management…).
  • Provide help to track and thank our wonderful donators.


1.3. Be our point of contact with our supporters

A. Oversee our info@ mailbox to answer our supporters’ queries.

B. Oversee the set-up of fundraising events organised by our supporters by supporting their journey:

  • Provide information.
  • Follow the supporters’ requests and questions.
  • Send packages with promotional material.
  • Coordinate the participation of volunteers in events when requested.
  • Thank organisers and very generous donors.


Qualifications

  • A degree in one of the following fields is a plus: Business Administration (SME/SMI), Human Resources, Executive Assistance, Office Management, Administrative and Financial Management.
  • 3 years professional experience minimum.
  • Excellent knowledge of the office suite, and specifically of Excel.
  • Details-oriented and great punctuality in numbers and data.
  • Structured and organised.
  • Sense of initiative.
  • Team minded.
  • Languages: French or Dutch as mother language, with a passive understanding of the other language - a decent knowledge of English is a plus.
