Project Support Officer

This is a fantastic full-time opportunity to work in a fast-paced, collaborative environment where you will interact with dynamic teams and play a key role in delivering critical projects.

Your Role:

As an Administrative (PMO) Support Specialist, you will provide essential support across project resourcing, financial management, risk and governance coordination, and communications. You will be the go-to resource for project managers, ensuring smooth operations and adherence to project processes.

Key Responsibilities:

General Administration:

  • Manage project management tools (e.g., Planview) and maintain project documentation.
  • Coordinate timewriting, monthly reporting, and project invoicing activities.
  • Schedule meetings, capture minutes and action items, and provide follow-up support.
  • Support internal and external audits as needed.
  • Assist project managers with project initiation and maintenance activities.

Resource Management:

  • Facilitate onboarding processes for new team members, particularly external resources.
  • Monitor and manage resource allocation and project capacity planning.
  • Coordinate staffing supply and demand across projects.

Cost Management:

  • Deliver regular financial tracking reports to finance teams.
  • Manage purchase orders, invoices, and track project budgets.

Communication & Reporting:

  • Prepare portfolio-level communications and reporting materials.
  • Liaise with both internal stakeholders and key client contacts.
  • Help define and promote project management standards and best practices.
  • Support project adherence to governance and compliance processes.
Required Qualifications:
  • 0–2 years of experience in a PMO, administrative, or project support role.
  • Excellent verbal and written communication skills for working with internal and external stakeholders.
  • Proficient in MS Office tools (Excel, PowerPoint, Word, Outlook) and Power BI.
  • Basic experience with project planning and document management tools (e.g., Alfresco).
  • Strong organizational skills with attention to detail.
  • Ability to work independently with minimal supervision in a fast-paced environment.
  • Positive attitude, proactive mindset, and strong work ethic.
  • Capable of multitasking and problem-solving under pressure.
