Your Role:As an Administrative (PMO) Support Specialist, you will provide essential support across project resourcing, financial management, risk and governance coordination, and communications. You will be the go-to resource for project managers, ensuring smooth operations and adherence to project processes.
Key Responsibilities:General Administration:
- Manage project management tools (e.g., Planview) and maintain project documentation.
- Coordinate timewriting, monthly reporting, and project invoicing activities.
- Schedule meetings, capture minutes and action items, and provide follow-up support.
- Support internal and external audits as needed.
- Assist project managers with project initiation and maintenance activities.
Resource Management:
- Facilitate onboarding processes for new team members, particularly external resources.
- Monitor and manage resource allocation and project capacity planning.
- Coordinate staffing supply and demand across projects.
Cost Management:
- Deliver regular financial tracking reports to finance teams.
- Manage purchase orders, invoices, and track project budgets.
Communication & Reporting:
- Prepare portfolio-level communications and reporting materials.
- Liaise with both internal stakeholders and key client contacts.
- Help define and promote project management standards and best practices.
- Support project adherence to governance and compliance processes.
Required Qualifications:- 0–2 years of experience in a PMO, administrative, or project support role.
- Excellent verbal and written communication skills for working with internal and external stakeholders.
- Proficient in MS Office tools (Excel, PowerPoint, Word, Outlook) and Power BI.
- Basic experience with project planning and document management tools (e.g., Alfresco).
- Strong organizational skills with attention to detail.
- Ability to work independently with minimal supervision in a fast-paced environment.
- Positive attitude, proactive mindset, and strong work ethic.
- Capable of multitasking and problem-solving under pressure.
