Administrative Assistant - Antwerp
Help ensure the smooth flow of global trade for a world leader in materials technology and recycling. We're looking for a proactive Administrative Assistant to join our client's Customs & Trade Compliance team in Antwerp providing essential support for import and export processes.
📍 Location: Hoboken, Belgium (3 days/week onsite; 100% onsite during first month)
🗓️ Start Date: ASAP
🗣️ Languages: Fluent in English; Polish is a strong plus
📄 Contract Type: Full-time assignment
Responsibilities
- Assist with the preparation of customs documentation and declarations.
- Liaise with external customs brokers, freight forwarders, and internal departments.
- Ensure all required documents are available, accurate, and submitted on time.
- Monitor and track shipment status, providing updates to relevant stakeholders.
- Maintain and update internal databases and lists.
- Handle general administrative tasks, including correspondence and email triage.
Requirements
- Proven experience in an administrative support role, preferably within an international setting.
- Strong proficiency in Microsoft Office (Excel, SharePoint, Outlook).
- Experience with administrative processes in a logistics or customs-related context is a plus, but not mandatory.
- Excellent organizational and time management skills.
- A proactive, accurate, and structured working style.
- Ability to work both independently and as part of a team.
