The Role

We are looking for a proactive and commercially minded professional to support our current operations and contribute to business growth. This role requires a dynamic personality, strong organizational skills, and the ability to adapt to diverse cultural and business environments across Europe and Asia.

You will play a key role in managing order flows from end-to-end. That means from sourcing raw materials to final delivery and coordinating logistics for both bulk liquid products and packaged goods throughout Europe. Flexibility and multitasking are essential, as the position involves handling various operational and administrative tasks. Key responsibilities include inventory management, minimizing costs, risk mitigation and ensuring customer satisfaction.

Key Responsibilities

• Order & Logistics Coordination represents the major part of the daily routine:
• Ensure accurate and timely processing of customer orders across Europe.
• Manage supplier orders & confirmations, transport arrangements and approve supplier invoices.
• Manage certificates of analysis and complaint handling within the supply chain.
• Maintain compliance with supplier operational rules and customer requirements.
• Product Administration:
• Maintain and update product specifications and ERP records.
• Coordinate SDS documentation in multiple languages.
• Sales Support:
• Conduct desk research to identify prospects.
• Manage sample requests and follow-up.
• Quality & Compliance:
• Keep product information and administrative tools aligned with the ISO 9001 standard.
• Contribute to sustainability initiatives such as Ecovadis requirements.
• Proactively identify and implement process improvements in logistics, order management, or customer service.
• Stakeholder Communication
• Serve as a point of contact for internal and external stakeholders, ensuring clear and timely communication.

Your Profile

• Strong multitasking, problem-solving and organizational skills.
• Hands-on and stress-resistant.
• Degree in logistics, economics, or equivalent experience.
• Commercial mindset with good numerical and analytical skills.
• Excellent communication skills and a quality-driven approach.
• Language skills: Dutch & English (essential), fluent German preferred; French is an asset.
• Proficient in MS Office; experience with ERP systems and invoicing processes is a plus. Open to learning new digital tools or platforms.
• Knowledge of international shipping formalities (letters of credit, customs clearance, certificates of origin) is an advantage.
