Receptionist/PA - Brussels - Full time


Receptionist and Personal Assistant to the Managing Team (Schuman area)

Starting date: mid-March

Kreab is a global strategic communications consultancy, committed to creating value. We advise corporations, individuals, governments and organisation on solving complex communication challenges. We are currently looking for a receptionist/PA to join our dynamic and international team.

You will be responsible for the reception, under the guidance of the Office Manager to whom you will report. The job is flexible and our expectations are adaptability and a proactive mindset.

Your tasks will - mainly but not only - comprise the following:

· Greeting guests with a friendly and professional demeanour, verifying appointments, and directing them to the appropriate person and location. Offering coffee/ tea/ water to all the visitors ;

· Assistance to the management: booking flights, hotel, restaurants;

· Managing calendars, scheduling meetings, and reserving conference rooms using tools like Microsoft Outlook;

· Doorbell switchboard;

· Post;

· Ordering Business cards;

· Bookings of travel, hotels, internal agenda / conference rooms, taxis and courier companies, registration of team events;

· Orders of office supplies, lunches for meetings, supplies for the kitchen), water fountains;

· Supplies + maintenance:

* setting up meeting rooms for client calls/ internal or external events:

- incl coffee / refreshments / lunches

- TV screens and video conferencing

* cleaning meeting rooms after client meetings

* printing and/or binding of material for meetings

* organisation of interviews with candidates

· Filling and emptying dishwashers;

· Keeping the kitchen area tidy;

· Logistical assistance to Senior Advisors and Clients/Visitors ;

· Ordering small equipment such as batteries/ tv remotes if not functioning property ;

· Office fruit: Maintaining the adequate orders( for ex. Cancelling deliveries during holidays)

· Maing sure reception area and meeting rooms remain tidy and uncluttered;

· Everything related to xerox printers: refilling paper or toners. Setting up printers for newcomers. Calling helpdesk if printers are not working properly ;

· Office parking booking for visitors ;

· Issuing digital badges to the building access ;

Your profil

· Excellent verbal and written communication skills in English (mandatory). Knowledge of French is a must ;

· Bachelor level is a preferable;

· First experience in a corporate environment ;

· Excellent presentation;

· Strong organizational skills with the ability to prioritize tasks and meet deadlines efficiently;

· Ability to evolve and work in a fast paced environment;

· Huge sense of hospitality;

· Collaborative and flexible attitude with the ability to work efficiently in a team environment;

· Ability to identify issues and proactively propose solutions;
