Executive Assistant


Are you an experienced Executive Assistant who thrives in a fast‑paced, international environment?
We are looking for an Executive Administrative Assistant to provide high‑level, proactive support to the Country General Manager. In this role, you will ensure seamless daily operations, manage complex schedules, and act as a trusted partner to senior leadership.
This position requires excellent organizational skills, professional communication, and the ability to handle confidential information with complete discretion.

Key Responsibilities
Manage and optimize the Country General Manager's calendar
(planning meetings in multiple time zones, anticipating conflicts, prioritizing requests).
Ensure daily engagements run efficiently by making proactive recommendations and solving scheduling issues.
Prepare briefing materials, meeting documents, and follow‑up actions.
Arrange complex international travel itineraries, including agendas, bookings, visa processes, and pre‑authorizations.
Oversee logistics for meetings and events:
booking rooms, arranging catering, preparing materials, coordinating transport, and managing guest arrangements.
Prepare and submit expense reports accurately and on time.
Handle compliance‑related documentation and ensure adherence to internal guidelines.
Maintain organized and up‑to‑date records, files, and executive documentation.
Serve as the central point of contact between the Country General Manager and internal/external stakeholders.
Professionally screen, filter, and redirect calls, emails, and information requests.
Ensure smooth and timely information flow across departments.
Maintain contact lists and ensure all executive‑level data is accurate.
Handle sensitive information with the highest level of integrity and discretion.
Represent senior leadership with professionalism in all interactions.
Support executive decision‑making by providing clear, structured information when needed.
Who are you?
You have an extensive experience supporting senior executives, preferably at C‑level.
Proven ability to manage complex calendars, itineraries, and high‑volume administrative workflows.
Fluent in French, Dutch, and English.
Strong organizational and time‑management abilities.
Excellent written and verbal communication skills.
High attention to detail and accuracy.
Strong sense of urgency and flexibility when handling changing priorities.
High level of integrity in managing confidential information.
Strong ability to work with digital tools, shared calendars, and documentation systems.
