Role Summary
The Managing Director is responsible for the daily management and overall performance of the student residence. This is a hands-on role combining operational leadership, administration, HR, finance, and building management. The Managing Director ensures smooth day-to-day operations, high-quality service to tenants, effective team management, and sound financial and real estate oversight.
This role is full-time Monday - Friday in the office in Anderlecht, with potential live-in benefits.
Responsibilities
2. Administration & Communications
- Answer and manage email communication with new and prospective tenants
- Oversee and implement updates and changes to the residence website
- Manage full rental administration via Rentio
- Prepare and monitor rental overviews and occupancy reports
- Maintain regular communication with stakeholders (owners, partners, service
- providers, institutions)
3. HR & Administration
- Responsible for hiring and termination of employees
- Direct management of a team of approximately 8 staff members, including:
Staff scheduling
Task allocation and follow-up
Internal communication
Conflict management
- Oversee payroll processing via Acerta
- Organize onboarding, training, and ongoing staff development
4. Finance & Accounting
- Monitor and verify bank transactions
- Prepare monthly financial and operational reports
- Execute and follow up payments to suppliers
- Manage accounting and invoicing through Exact Online
- Ensure accurate financial administration and documentation5. Buildings & Real Estate Management
- Follow up and manage maintenance contracts
- Oversee utilities (contracts, usage, and follow-up)
- Plan and coordinate preventive and corrective maintenance
- Supervise facilities management and capital expenditure planning
- Ensure buildings are safe, functional, and well-maintained
6. Student Experience & Community (Supervision & Support)
- Ensure a safe, inclusive, and high-quality living environment for students, in close coordination with the Community Manager
- Supervise and support the Community Manager in the delivery of resident services, community events, and wellbeing initiatives
- Act as escalation point for complex or sensitive student issues, complaints, and disciplinary matters
- Monitor student satisfaction, engagement, and retention, and support continuous improvement initiatives led by the Community Manager
7. Sales, Marketing & Partnerships (Supervision & Support)
- Oversee and supervise marketing, leasing, and admissions activities primarily managed by the Community Manager
- Support the Community Manager in building and maintaining relationships with universities, student organizations, and education partners
- Represent the residence at key external events, fairs, and stakeholder meetings when required
- Monitor market trends, demand evolution, and competitor performance, and provide strategic input to the Community Manager
8. Compliance, Risk & Governance
- Ensure compliance with housing regulations, health & safety standards, and internal policies
- Oversee risk management, security, and crisis response procedures
- Ensure sustainability and ESG initiatives are implemented where applicable
9. Ongoing & Strategic Projects (Mid- to Long-Term)
- Lead and implement security improvements, including access control systems, cameras, and door/lock solutions
- Review and optimize building maintenance schedules and maintenance contracts
- Manage the onboarding of new students, including the development and implementation of new contract templates in Rentio
- Drive the digitalisation of in-housing and out-housing processes
- Oversee the onboarding of new staff members, including:
Community Manager (ongoing)
Two part-time Concierge roles
Qualifications & Experience
- Proven experience in a senior operational or management role within student housing, residential operations, hospitality, or real estate
- Demonstrated responsibility for day-to-day operations, financial follow-up, and people management
- Experience working with rental administration systems, accounting tools, and HR/payroll providers is a strong asset
- Understanding of student housing markets and service-oriented residential environments
Skills & Competencies
- French and English fluency. Dutch is a bonus.
- Strong leadership and people-management skills, with a hands-on and pragmatic approach
- Financially literate, with the ability to monitor budgets, reports, and cash flow
- Clear and professional communication skills with students, staff, owners, and external partners
- Ability to manage escalations, conflicts, and crisis situations calmly and decisively
- Well-organized, detail-oriented, and capable of balancing daily operations with ongoing projects
- Comfortable supervising and supporting specialist roles (e.g. Community Manager) while retaining overall accountability
