At Kebony, customer focus is one of our core values. As a Customer Service Officer, you will play a vital role in delivering excellent service to our global customer base. Located in our Global Customer Service Department in Antwerp, you will manage end-to-end customer service operations while working closely with regional account managers, logistics, and supply chain teams. You will take full ownership of sales contracts, order processing, and issue resolution -ensuring a smooth and professional customer journey from start to finish.
What will be your impact: Key Responsibilities
Customer relationship management
Act as the primary point of contact for customers, providing support on inquiries related to pricing, availability, lead times, and order status
Deliver professional and timely responses to customer queries and complaints
Provide proactive and solution-oriented service, managing customer expectations with clarity and care
Collaborate with sales and account managers to ensure alignment on customer needs and commercial follow-up
Order & issue management
Create, process, and follow up on sales orders accurately and efficiently in ERP system
Ensure quick turnaround on customer complaints and service issues
Maintain and manage Customer Master Data, ensuring accuracy of customer records, pricing conditions, and delivery details
Prepare and manage customer quotations in coordination with sales and internal stakeholders.
Follow up closely on open orders, backorders, and delivery performance, ensuring timely execution and clear customer communication
Monitor and achieve KPIs in line with set customer service objectives
Monitor production progress and order execution, proactively identifying potential delays and coordinating solutions.
Logistics & delivery coordination
Coordinate closely with Logistics and Supply Chain to align delivery dates and transport solutions.
Support transport planning, including truck planning, load optimization, and calculation of truck space and shipment volumes.
Collaboration & administration
Work closely with internal departments such as Sales, Logistics, and Supply Chain to ensure seamless execution of customer orders
Maintain clear and accurate administrative records in relevant systems (ERP/CRM)
Support account managers with quotations, lead time updates, and availability checks
What we are looking for: Experience, Qualifications & Skills
Bachelor's degree in Business Administration or related field, with 2–4 years in a customer-facing role.
Proficient in ERP/CRM systems and Microsoft Office (Outlook, Excel, Word).
Strong communicator, confident with both internal and external stakeholders.
Proactive, service-minded, and comfortable working independently.
Excellent time management and ability to prioritize in a fast-paced environment.
Fluency in English is required. Knowledge of any Scandinavian language is a plus

The Customer Service team based in Antwerp is an international and collaborative group working at the intersection of customers, sales, and operations. Led by a Customer Service Team Lead and Customer Service Manager, the team ensures smooth order execution, clear communication, and reliable delivery performance across multiple markets. Ownership, teamwork, and a hands-on mindset are central to how the team operates.
