Executive Assistant

The main objectives of this function are:

  • Assist the managing partner in all administrative and logistical aspects;
  • Support the department and its associates in organizational aspects of the daily functioning
  • Act as the primary contact for all other FLI departments and entities in all administrative, logistical and organizational matters;

The ideal candidate will be responsible for many different tasks related to the operations of the business. They will take calls and maintain calendars. Additionally, this individual will organize reports and documents to ensure ease of access. 

 

Responsibilities

  • Answer and direct all incoming phone calls & coordinating conference calls
  • Maintain calendars and filter email activities
  • Establish communications between suppliers and executives, as well as clients
  • Organize documents and reports/filing
  • Log and file expense reports
  • Coordinate travel requirements for company executives
  • Assist with procurement exercises for finding and sourcing new vendors
  • Assist with qualifying leads and working with the Sales Director on preparing for sales initiatives, calls, and so on.
  • Assist with Family Office Coordination (working with travel agents, tax/accounting, legal, and other such functions supporting the Family Office).
  • Occasionally assist Accounting and Finance with AR/Collections and Partner Relationships as Proxy for Stakeholders.

Qualifications (Required)

  • Bachelor's degree or equivalent
  • 5+ Years Experience in an administrative position
  • Strong written and verbal communication skills with complete native proficiency in English
  • Ability to work in high intensity, fast-paced environment - hands-on mentality
  • Proficiency with Office 365 Suite
