Supreme Headquarters Allied Powers Europe (SHAPE) provides an integrated Strategic Effects framework, employing a multi-domain and multi-region focus to create a 360-degree approach, with the flexibility to enable, upon direction, a seamless transition from Baseline Activities and Current Operations (BACO) up to the Maximum Level of Effort (MLE). SHAPE supports SACEUR in fulfilling his terms of reference, as directed by the North Atlantic Council.
The Management Directorate (MGT) primary focus is to provide all the necessary staffing and real-life support functions to enable SHAPE to deliver its critical outputs as a Strategic Military HQ. The Directorate acts as the HQ's conduit to member nations (through NMRs) and to host nation authorities.
The Information Management and Business Continuity Branch (IMBC) provides the information management and staffing tools, directives and processes necessary for the efficient functioning and resilience of SHAPE as a Military Strategic HQ.
Under the trial structure, the Battle Rhythm and Workflow Management branch synchronises and directs associated staff efforts at SHAPE.
The Staff and Workflow Management Section (SWM) is the centralised 'control room' for the management of all Command Group taskers, and for the assessment of all official correspondence received by SHAPE.
As a proofreader this post assists in the appraisal and revision of all documents, prepared by SHAPE staff, before presentation to the Command Group.
2. PRINCIPAL DUTIESThe incumbent's duties are:
• While serving as a senior proofreader, the incumbent directs the management and prioritization of workload on the proofreading team.
• Prepare minutes and records of decisions of meetings when requested by DCOS Management, the IRM Branch Head or the Staffing and Workflow Management (SWM) Section Head.
• Prioritise and conduct quality control assessment of all documents submitted by the SHAPE staff for Command Group (CG) attention, for grammar and conformity to policy on document layout.
• Determine the optimum resolution for document completion through liaison with SHAPE staff members.
• Contribute to the training of SHAPE staff, as part of the newcomers' induction package, on document preparation.
• Prepare and disseminate information management policy for ACO and between the Bi-Strategic Commands on the preparation of correspondence, including the SHAPE Staff Toolbox.
• Provide advice on document preparation to SHAPE Staff.
• Within the area of responsibility, the incumbent is responsible for ensuring that strategic risk to the achievement of CG priorities are managed in accordance with ACO Enterprise Risk Management framework.
The incumbent may be required to undertake deployments in support of military operations and exercises, and/or TDY assignments, both within and without NATO boundaries up to 180 days. The employee may be required to perform a similar range of duties elsewhere within the organization at the same grade without there being any change to the contract.
The work is normally performed in a Normal NATO office working environment. Normal Working Conditions apply. The risk of injury is categorised as No risk / risk might increase when deployed.
4. ESSENTIAL QUALIFICATIONSa. Professional Experience
Minimum 3 years' experience in the below:
• Experience in working within a military environment in an administrative capacity.
• Advanced experience with Word Processing, Spreadsheet, Graphics Presentation, Email Clients/Web Browsers
• Advanced experience in writing and editing.
• Advanced experience in proofreading documents/correspondence.
• Experience of working under minimal supervision and using own initiative.
• Sound organisational and communication skills and proven ability to communicate effectively with all levels of staff.
• Analytical mind and an eye for detail.
• Familiarity with the structure and activities of the Organisation.
b. Education/Training
Higher Secondary education and completed higher vocational training leading to a formal technical or professional certification with 3 years function related experience, or Secondary education and completed advanced vocational training leading to a professional qualification or professional accreditation with 5 years post related experience.

• Personal Attributes: The incumbent must be capable of using their own initiative and working with minimal supervision as the incumbent will need to work closely with military and civilian staff within the Branch and Headquarters. They must be capable of handling details. Must possess good interpersonal and communication skills, when dealing with staff and senior officers. Thought and judgment are required to establish priorities.
• Professional Contacts\: Daily contact with all levels of staff, particularly drafting officers, in offering advice on staffing procedures and the preparation of SHAPE correspondence. Through face-to-face meetings, emails or NATO Information Portal messages, communicates information to the staff.
• Contribution To Objectives\: Aim to ease the assimilation of new staff members into the organisation through the medium of the SHAPE Staff Toolbox and Induction Programme. Prepare and review easy to follow directives/documents on SHAPE staff work/ correspondence/workflow and computer templates in order to educate, and thereby improve the standard of staff work circulated within (particularly to the Command Group) and outside the headquarters.
Duration of contract: Serving staff members will be offered a contract according to the NATO Civilian Personnel Regulations (NCPR). Newly recruited staff will be offered a definite duration contract of three years normally followed by an indefinite duration contract.
The salary will be the basic entry-level monthly salary defined by the NATO Grade of the post, which may be augmented by allowances based on the selected staff member's eligibility, and which is subject to the withholding of approximately 20% for pension and medical insurance contributions.
