Administration & Compliance Manager

YOUR ROLE

Reporting to the Site Manager, you will pursuit the following objectives:

You will manage and coordinate several teams and their process (Shipping, Returns, Complaints, Trainings, Customer Service and Repackaging) in order to ensure impeccable quality  of delivered services and products within the deadlines, according to the expected results for our Customer according to the contractual terms and the possibilities and limitations of the Distribution Centre. Apart from these day-to-day activities, we expect you to actively lead and cooperate in different projects. Striving for high Quality Standards is an absolute priority within your role.

WHAT WILL YOU DO?

As Quality Assurance representative you will:

- Be Responsible for procedures to ensure efficiency and clarity and ensure strict compliance with them

- Be Responsible for the resolution of shipping related complaints

- Participate and lead in QA meetings with the client

- Translate the QA vision and strategy of the service to the client as contractually defined

- Be responsible of End to end responsibility of the Repack department and:

    • Control the optimal and strict execution of the application processes in the area;
    • Monitor compliance with operational requirements in terms of deadlines and urgency, in accordance with Good Manufacturing / Delivery Practices standards and guidelines.
    • Design and optimize processes, harmonization with external processes in accordance with the agreements concluded with the client
    • Develop, implement, and monitor implementation, process integration and continuous improvement projects
    • Participate in operational meetings with the customer to improve cooperation and operations

      - Be the "Dangerous Goods focal point" for CEVA

      - For the distribution flows to the affiliates, responsible for the delivery of the right products with the right documents, at the right time, at the right place and at the right price

      As activity coordinator you:

      - plan Internal/external operational meetings to improve collaboration, processes and achieve maximum productivity.

      - Organize the department to ensure maximum efficiency

      - Report departmental KPIs and contractual QA KPIs and take all necessary actions to improve them

      - Analyse Continuously the system and data related to the Shipping and Training process.

      - Participate to the process improvement as process owner

      - Deal with all logistical issues; have a fully overview of the Recall, Returns process and act when necessary

      - Ensure the service and quality of customer service as contractually defined by a daily monitoring of the operational activities of the entire department

      - Are responsible for the team that prepares documentation for ROW shipments

      - Are responsible for the team that manages complaints, daily work, productivity and quality of work.

      As People Manager you will:

      - Ensure development, monitoring and evaluation of your teams in accordance with CEVA procedure.

      - Define and achieve departmental objectives ensures that the team achieves minimum throughput time, maximum and stable productivity, high service level and excellent quality and accuracy.

      - Instill, develop, and maintain a spirit of thoroughness for each activity

      - Implement and supervise the execution of shipping related tasks in accordance with customer agreements (contract) and local and international shipping laws.

      WHAT ARE WE LOOKING FOR?

      Knowledge :

      - Educational background: Master level or equivalent through experience

      - Mastery of procedures and regulations relating to the transport/shipping business

      - Knowledge and mastery of Good Manufacturing Practices and GDP requirements and their application in distribution centers

      - Good knowledge of Office suite, SAP and other 3PL programs

      - Good understanding of logistics flows, mastery of the company's own instructions and procedures

      Skills:

      - Excellent communication skills with a variety of people at all levels (management, employees, customers, auditors, Institutions,…

      - Excellent people management skills for team with a large scope of activities

      - Ability to work independently, make decisions and manage changing priorities

      - Analytical mindset

      - Quality Assurance Focused

      - Continuous improvement, solution and results oriented

      - Perfect knowledge of English. Dutch knowledge is an asset
