Office & Fleet Coordinator (M/F/X)

Your role

As Office & Fleet Coordinator, you will play a key role in keeping our Belgium office running smoothly. You will coordinate office operations, manage IT equipment and work tools for employees, oversee our fleet of 30 vehicles, and contribute to employee onboarding, events, and internal communications. Your work ensures the office and teams are well-equipped, connected, and supported daily.

  • Office & Facility Management: Oversee office facilities, coordinate cleaning/maintenance, manage supplies and catering, and welcome visitors.
  • IT & Equipment Management: Track and manage IT equipment and employee tools, ensuring proper allocation, maintenance, and return.
  • Business Travel Management: Book hotels, taxis, and travel arrangements for colleagues.
  • Fleet Management: Manage 30 company vehicles, including maintenance, accident reporting, orders, registration, and related administration.
  • Onboarding & Employee Support: Prepare access, IT equipment, workspace, and fleet allocation for new hires. Support events and manage gifts for special occasions.
  • Executive Support: Assist management with planning, scheduling, meeting preparation, and follow-up notes. Provide administrative support to management, Accounting, HR, and Fleet teams.
  • Internal Communication & Social Media: Create and share content on internal and external channels for team activities, celebrations, and employer branding initiatives.


Your profile

We are looking for a proactive, versatile, and organized professional who thrives in a dynamic international environment.

You bring:

  • Fluency in Dutch, French, and English with excellent communication skills.
  • Proven experience in international settings, demonstrating teamwork, prioritization, and multitasking abilities.
  • Strong initiative, capable of working independently to meet deadlines and deliver high-quality work.
  • Familiarity with modern software tools and a willingness to leverage technology for increased productivity.
