Administrative Assistant


Job Summary

To provide the support required by the General Manager for the efficient operation of the  General Insurance Operations and the performance of all General Insurance functions thereby ensuring quality service to all stakeholders and timely completion of all functions.

Primary Responsibilities

  • Receive and collate incoming Roadside Assistance coverage request and forward information on a daily basis to the service
  • Receive and resolve coverage queries for roadside assistance when they
  • Provide backup to handle incoming calls to the General Manager, General Insurance  Services in his absence and/or when he is unable to answer the
  • Assist the Underwriting units in handling incoming calls and queries
  • Assist the General Manager in the drafting, preparation and sending of letters, mail and e-mails.
  • Clear all incoming e-mails, to the unit's e-mail address on a regular basis. Follow up with the respective team member/s to ensure that any action items are completed on time and assist in responding to the relevant parties.
  • Assist the General Manager and underwriters in ushering in visitors to the unit or to the designated meeting area for
  • Arrange for the required meeting room bookings and scheduling of meetings for the General Manager as and when required
  • Provide the necessary computer assistance to assist in having all the necessary documentation templates established for the
  • Provide document preparation support for the General Manager and unit.
  • Handle incoming and outgoing correspondence to and from the General
  • Assist in the preparation, collation and mailing out of reinsurance documentation.
  • Maintain the filing system used by the General Manager for documents and review and file incoming documents as needed.
  • To provide an analytical presentation on reported data upon request.
  • Other administrative tasks: Editing, printing, formatting and submitting letters, notices and documents as needed.
  • Assist in the preparation of policies and other documentation for specialized accounts
  • Circulate and follow up on the cancellation of policies sent to be cancelled by FFLC. Assist in the handling of bond requests and preparation of required documentation
  • Prepare monthly reports for the monthly management meetings.
  • Analyze and report on the various lines of business monthly and as required for special reports
  • Review and provide reports on various areas as requested
  • Assist the underwriting unit in the preparation and mailing out of documentation
  • Assist the underwriting team with data entry and incoming calls and queries as needed
  • Assist in the admin and coordination of the activities in the unit to ensure the desired level of service is achieved

Secondary Responsibilities

  • Any other duties that may from time to time be
  • Preparation of training materials and reinsurance presentation
  • Preparation and presentation of reports at the monthly meetings
  • Support the Underwriting and Branch and Direct Production managers

Qualifications

Education

Minimum 5 CSEC passes inclusive of Grade 1 or 2  in Mathematics and English A and

5 CAPE passes (full certificate) or an equivalent diploma or professional certificate

A first degree in Actuarial Sciences would be an asset

Experience

Proficiency in MS Office Suite

Similar Administrative Assistant experience would be an asset.
