To support our growing team and operations across Belgium and France, we're looking for a highly organized and proactive People, Finance and Office Coordinator who ensures that our finance, HR, and office processes run smoothly behind the scenes.
Your RoleYou will act as the organizational backbone of Vertical Compute — supporting our leadership team in managing financial administration, HR processes, travel, and office logistics. You'll coordinate with external partners and ensure that daily operations are efficient, structured, and compliant.
Your ResponsibilitiesFinance & AdministrationHandle supplier invoices (collection, verification, forwarding to accounting partner)
Follow up on insurances and ensure coverage documents are up to date
Prepare and reformat expense reports for internal validation and accounting
Maintain accurate administrative records and support budget tracking
Draft and maintain employment contracts, absence records, and personnel files
Manage HR documentation (e.g. onboarding files, policies, certificates)
Prepare HR reports and assist in subsidy applications (e.g. VLAIO, R&D incentives)
Liaise with external payroll, legal, or HR service providers
Coordinate with De Hoorn (Leuven) and CoLoft (Grenoble) teams for facility issues, requests, and shipments
Manage office supplies, furniture, and IT material inventory
Support the setup of new workplaces and onboarding logistics
Organize internal and external events (team meetings, workshops, offsites)
Manage travel bookings and arrangements (flights, hotels, reimbursements)
You have experience in administration, HR, or office management, ideally in a start-up setting
You naturally look for automations and the most efficient ways to do your work
You are comfortable using digital tools (Google Workspace, Notion/Coda,...)
You can work with attention to details, organize, and take ownership of your work
You enjoy supporting a team and making operations run smoothly
You communicate clearly and can coordinate with multiple stakeholders
You are fluent in English, French and Dutch
