Your Role
As 
Financial and Administrative Officer
you will play a key role in ensuring the smooth functioning of our Brussels office and supporting the Director in day-to-day operations.
A strong grasp of basic accounting and comfort working with financial documentation are essential, as accurate and proactive financial management is one of the core responsibilities of this position.
From handling logistics and invoices to helping coordinate meetings and events, you'll be the backbone of our small, 3 people dynamic team.
Key responsibilities
- Support the Director with administrative tasks and correspondence (emails, scheduling, etc.)
 - Manage incoming and outgoing communication with office suppliers and service providers
 - Organise and maintain filing systems for financial and confidential documents
 - Collect and reconcile all bank extracts and credit card transactions, ensuring each expense is justified with supporting receipts/invoices and properly filed for the accountant and auditor. Strong numerical skills are advisable.
 - Cooordinating meetings, General Assemblies, and events, and assisting with communication plans.
 - Handle basic contract and logistics with external suppliers (electricity, telecom, furniture, computers etc.)
 - Manage internal calendars, travel arrangements and office appointments
 - Assist with document editing, proofreading, and occasional translation (EN/FR)
 - Help maintain a positive and organised office environment
 
What we're looking for
- Excellent organisational and multitasking skills
 - Strong attention to detail and a problem-solving mindset
 - Fluency in English (C1) and French (B2) written and spoken
 - Proficiency in MS Office (Word, Excel, Outlook)
 - Affinity for European and social affairs
 - Team-oriented, with a collaborative spirit and cross-cultural sensitivity
 - Ability to work independently and take initiative
 - Legal right to work in Belgium

Competitive salary package, including:
- A salary to be discussed during the interview, commensurate with your experience and performance. Range: €35,000 – €38,000 gross per year (12-month salary basis), depending on experience.
