Office Coordinator


At Vyntra, we’re looking for a proactive, organized, and confident professional to join us as an Office Coordinator.


Please note: This is mainly an office coordination role with some light HR administration. If you are looking for a primarily HR role, this will not be the right fit.


You will be the go-to person in our Mechelen office — making sure the space runs smoothly, supporting colleagues with practical needs, and handling some HR-related administration. The right person enjoys variety, works well under pressure, and is confident managing expectations while staying friendly and collaborative.


This is a part-time role (20 hours per week. Monday to Thursday with the need for occasional flexibility to run mandatory special events such as town halls)


What you’ll do


Office Operations & Facilities

  • Be the main contact for day-to-day office needs
  • Manage reception, mail, stock, building access, and keys
  • Organize meetings and company town halls
  • Oversee company car fleet administration


Employee Support

  • Help colleagues with practical office and process questions
  • Support internal communications and office event


HR Administration

  • Support onboarding and offboarding (equipment, access, welcome activities)
  • Keep employee records up to date


What you’ll bring


  • Experience in a busy office management, EA, or team assistant role
  • Skilled at handling multiple tasks and changing priorities
  • Confident in pushing back politely and professionally
  • Strong organizational and communication skills
  • Fluent in English plus Dutch OR French
  • Proficient in MS Office; experience with HR systems is a plus
