Robert Half is currently seeking a highly organized and motivated FR/EN Administrative Assistant (M/F/X) for our client, an international not-for-profit association operating in the economic sector.

Key Responsibilities:

As the Administrative Assistant (m/v/x) , you will directly support the Unit Manager and team members by ensuring smooth administrative operations. Your tasks will include:

  • Meeting Coordination: Organizing and supporting internal meetings, coordinating follow-ups, and handling logistical aspects of external stakeholder meetings.
  • Document Preparation: Assisting with the creation of documents, presentations, and filing/archiving (physical and electronic records).
  • Team Support: Managing internal procedural documents, updating contact lists, and providing general administrative assistance to the unit.
  • Project Management: Supporting the Unit Manager with projects, email communications, and agenda scheduling.
  • Website Content: Assisting with updates and maintenance of the organization's website.
  • Governance Assistance: Helping with governance tasks, managing change requests, and collecting annual recertifications of authorized contacts.
  • Invoice & Activity Management: Sending monthly invoice reminders, organizing unit teambuilding events, and contributing to company-wide activities.
  • Collaboration & Backup: Providing backup for other assistant functions within the organization, ensuring smooth team coordination.

Qualifications & Requirements:

We're looking for an experienced professional with the following qualifications:

  • Bachelor's or Master's degree with a minimum of 3 years of experience in administrative roles.
  • Fluency in French and English (oral and written) is mandatory.
  • Proven expertise in organizing and coordinating logistical aspects of meetings with external stakeholders.
  • Strong organizational skills with a focus on stakeholder engagement, adaptability, and problem-solving.
  • Excellent communication skills, with the ability to collaborate effectively across teams.
  • Valid work permit for Belgium.
