Management Assistant


The Company

The Apheon Brussels office is looking for a Management Assistant. The office is located in the Blue Tower (Avenue Louise) and is well connected for commuting purposes (tramway, bus,…). We offer a permanent position as of day one.

Job Description

The Management Assistant will be a central person in organizing (i) the schedules, meetings and travels for the assigned team, (ii) coordinate various administrative tasks, and (iii) liaise frequently with the teams in the other European offices if needed. The main activities and responsibilities will be:

Management Assistant / Administrative Support:

  • Mail management and calendar management for the assigned team members
  • Prepare and edit correspondence, communications, presentations and other documents
  • Circulate and file administrative documents
  • Manage private administration for the assigned Partner
  • Answer and manage incoming calls
  • Monitor, screen, respond to and distribute incoming communications
  • Receive and interact with incoming visitors
  • Frequent contacts with very senior people (i.e. investors, shareholders, C-level people of participations, board members, advisors)
  • Liaise with internal staff at all levels and in all regions
  • Undertaking various ad hoc administrative tasks as needed

Education and Experience

  • The ideal candidate holds a Bachelor degree in Office Management, in Multilingual Business Communication or Languages and has minimum 2-3 previous experience as a management assistant
  • Language: perfect knowledge of Dutch and English, French is a plus
  • Proficient computer skills and in-depth knowledge of MS Office Suite
