Position: Administrative Assistant, Global Tax

Location: Zaventem, Belgium


The Administrative Assistant will provide overall administrative and management support for the Global Tax team.


Key accountabilities


Performance and progress in the following areas will be the priorities for this position:

  • Providing administrative and management assistance for the Global Tax team, including calendar management and logistics support for Global Head of Tax and Global Tax Leadership group as well as any assigned Global Tax meetings.
  • Providing administrative support for global processes in collaboration with various international teams. Responsibilities include amongst others consolidating quarterly reports, preparing annual consolidation of contact lists,
  • Responsible for updating, reconciling and maintaining online directory, MS Outlook distribution lists, and MS Teams groups
  • Assisting with the Tax content integration process for the local intranet, along with the maintenance of document libraries and other Tax-related data in SharePoint.
  • Timely distribution of internal communications from Go Tax including publications and routine data to BDO firms.
  • Provide operational and logistics support for various strategic projects and events of Global Tax.


Qualifications and Experience


You meet the following requirements:

  • Have either a high school diploma or university degree, and experience in a management assistance and administrative role in an international working environment (minimum 2 years consecutively);
  • Be able to work independently and in an international team, organised, attentive to detail and committed to delivering quality;
  • Be eager to learn and understand different processes and not afraid to suggest how they can be improved;
  • Have excellent command of English, both spoken and written – any international English language test (e.g. TOEFL, IELTS, TOEIC) result can be considered as an advantage; knowledge of other languages is an important asset;
  • Be familiar with using Microsoft Office 365 suite or equivalent IT skills; training or skill certification is an advantage;
  • Have experience with SharePoint Online, SharePoint lists and document libraries, or at least a clear understanding of other cloud-based collaboration platforms;
  • Positive ‘can do’ attitude, easy-going, and good sense of humour
