Administrative Assistant


Nexeo is currently looking for an Administrative Assistant (FR) for one of its clients in Belgium.

As an Administrative Assistant, you will be responsible for the following tasks:

Administrative Support & Coordination

  • Provide day-to-day administrative support to teams and management
  • Manage calendars, meetings and appointments
  • Prepare, organize and maintain administrative documents and reports
  • Handle internal and external communications in a professional manner
  • Coordinate follow-up of administrative requests and ensure timely processing
  • Support the organization of meetings, workshops and events

Documentation & Reporting

  • Prepare and update files, presentations and documentation
  • Ensure proper archiving and management of administrative records
  • Assist in drafting reports, meeting minutes and official communications
  • Monitor deadlines and ensure accurate follow-up of ongoing actions

Stakeholder Support & Communication

  • Act as a point of contact for internal and external stakeholders
  • Ensure smooth communication between departments and teams
  • Support managers and teams with operational and organizational tasks
  • Provide high-quality administrative assistance in a dynamic environment

Operational Support

  • Contribute to the improvement of administrative processes and organization
  • Ensure confidentiality and proper handling of sensitive information
  • Support multiple priorities while maintaining accuracy and quality
  • Participate proactively in team activities and operational follow-up

Profile

  • Previous experience in an administrative support role is an asset
  • Excellent organizational and coordination skills
  • Strong communication and interpersonal abilities
  • Detail-oriented, rigorous and structured mindset
  • Proactive, flexible and solution-oriented attitude
  • Ability to manage priorities and work autonomously
  • Team player with a service-oriented mindset

Technical Skills

Mandatory

  • Good knowledge of Microsoft Office tools (Word, Excel, Outlook, PowerPoint)
  • Strong administrative and organizational skills
  • Ability to manage documentation and reporting activities
  • Excellent written and verbal communication skills

Nice to Have

  • Experience in corporate or international environments
  • Experience supporting multiple stakeholders or departments

Languages

  • Fluent knowledge of French
  • Good knowledge of English and/or Dutch is an asset
