Job Offer – Travel & Customer Care Assistant (DiscoverEU)
Brussels – Full-time (40h/week)
Salary: €2,435 gross/month
Start date: June 2026
Temporary assignment: Initial duration of 3 months (up to 5 months for candidates speaking German and/or Polish)
About the role
We are looking for a Travel & Customer Care Assistant to join an international team supporting the coordination of travel arrangements and participant assistance for the DiscoverEU programme.
This is a dynamic, hands-on position ideal for someone with strong communication skills, a customer-oriented mindset, and excellent attention to detail.
Key responsibilities
Travel & Customer Care Support
- Respond promptly to participant enquiries via email and chat while respecting internal service level agreements (SLAs).
- Coordinate travel logistics, including booking support, document verification, expense processing, and supplier invoice follow-up.
- Identify, assign, and escalate complex cases to the appropriate team members.
- Handle special travel cases such as accessibility needs, lost tickets, and rebookings.
- Maintain accurate and up-to-date participant records.
- Ensure compliance with internal procedures, data protection policies, and financial control guidelines.
- Support daily team operations through administrative and coordination tasks.
- Verify participant ID documentation and follow escalation procedures when required.
Administration, IT & Tools
- Confidently use internal web applications and helpdesk platforms.
- Work efficiently with IT systems, databases, and standard office software.
- Ensure GDPR compliance and respect IT security protocols.
- Promote sustainability initiatives and support environmental best practices within the organisation.
Profile
- You are legally eligible to work full-time within the European Union.
- You have excellent written and spoken English skills.
- You are fluent in at least one additional EU language, preferably:
- German,
- Dutch,
- or Polish.
- You have a strong customer service mindset and professional attitude.
- You are organised, detail-oriented, and able to manage priorities effectively.
- You can work under deadlines while maintaining high-quality standards.
- You enjoy working in an international and collaborative environment.
