Technical Administrative Assistant (CDI/Freelance)


Role Overview

Join a major player in the energy sector and contribute to projects supporting the energy transition and the development of a sustainable, reliable, and innovative infrastructure environment.

You will collaborate with multidisciplinary teams and technical experts to support operational activities, communication initiatives, and documentation processes within a highly technical environment.

Main Responsibilities

  • Organize and coordinate large-scale technical communication sessions and workshops: Preparing agendas, Collecting presentations, Sending invitations, Booking meeting rooms, Coordinating catering and Teams environments, Preparing newsletters and communication materials, Moderating communication sessions in French
  • Support and coordinate experience feedback (REX) sessions in both French and Dutch.
  • Act as Business Owner for several document management tools and support teams with: Document management, Archiving, Publication processes, SharePoint migration activities, Confluence publication management
  • Organize and manage the Technical Certification process: Planning certification tests, Coordinating with technical experts, Following up certifications and renewals
  • Monitor and manage ticketing activities within Jira: Creating tickets, Following up action items, Supporting experts in issue tracking and improvements
  • Coordinate written communications such as Quality Alerts: Ensuring formatting consistency, Managing translations, Publishing communications
  • Act as point of contact with central Quality teams regarding: Certification, Ticketing systems, Quality communications
  • Maintain and publish team dashboards using data from various channels.

Profile

  • Bachelor’s degree in Organization & Management or equivalent through experience
  • Administrative Assistant training/certification is considered a plus
  • Bilingual Dutch/French with a good knowledge of English
  • Strong organizational and planning skills
  • Excellent communication skills with the ability to address larger audiences
  • Team-oriented and customer-focused mindset
  • Comfortable working with various departments and stakeholders
  • Good knowledge of: Microsoft Word, Excel, Teams, SharePoint
  • Knowledge of Jira and Confluence is a plus
  • Affinity with AI tools such as Copilot is considered an advantage
