An international company with its European Office on the west side of Brussels is seeking an experienced Executive Assistant to support members of the Executive Team. The role partners closely with a small community of Executive Assistants. Success in this environment calls for sound judgement, a discreet and service-minded approach, and the ability to orchestrate complex priorities across countries.
Key responsibilities
- Executive support: Provide high-level administrative support to senior leaders: complex calendar management, meeting planning, document handling and signature flows, presentation support, expense reporting, and end-to-end travel arrangements.
- Meeting & event organisation: Plan and support meetings across Europe, including itineraries, hotel bookings, agendas, circulation of materials, and liaison with local contacts.
- Project & team enablement: Collaborate with cross-functional teams and facilitate interactions with all stakeholders involved.
- Process excellence: Create and maintain clear process descriptions, charts, and checklists; proactively spot opportunities to streamline ways of working.
- Minutes & follow-up: Attend meetings, capture accurate minutes, and drive follow-up on action points.
- Office coordination: Serve as a point of contact for office-related matters at the European HQ, ensuring smooth daily operations together with fellow EAs.
What you bring
- 8+ years’ proven experience as an Executive Assistant or similar supporting senior leadership in an international setting.
- Fluent English (written and spoken); French and/or Dutch are considered assets.
- Advanced proficiency in a Windows/Office 365 environment (Outlook, Teams, SharePoint, Word, Excel, PowerPoint).
- Outstanding organisation and time-management skills; meticulous attention to detail; able to handle urgencies and shifting priorities.
- Discretion with sensitive information; clear, professional communication and strong interpersonal skills.
- Proactive, improvement-oriented mindset; comfort working independently and as part of a team; flexible and open to change.
